District Council Virtual Business Meeting Notice

The District Council will consider and vote on important District business. Other members may register and attend as nonvoting observers.

Who is on the District Council

The District Executive Committee includes:

  • District Director
  • Program Quality Director
  • Club Growth Director
  • Immediate Past District Director
  • Public Relations Manager
  • Administration Manager
  • Finance Manager
  • Division Directors
  • Area Directors

The District Council consists of the District Executive Committee plus the Club President and the Vice President of Education, of each member club in good standing.

Registration

All attendees must register for the Zoom meeting. District Council members who intend to register by:

Friday, September 25, 2026, at 5:00 p.m. CDT

Registrations received after the deadline may attend as observers but will not be eligible to vote.

Use an email you can open during the meeting. That is the address Election Buddy will use for your ballot.

You may register now and attend as an observer. The cutoff is 2 days before the meeting for voting eligibility. (Sept 25 at 5:00 PM)

How to join

    • If the button does not work, copy and paste the link into your browser.
    • Rename yourself using your role, name, and club.

    Voting

      Only eligible District Council members who registered by the deadline and are present during the meeting may vote.

      Voting Rights

        • Each club in good standing has two votes.
        • The Club President and Vice President Education may each cast one vote, or either officer may cast both votes, as determined by the club.
        • Each District Executive Committee member has one vote.
        • A District Executive Committee member who is also representing a club may cast up to two additional club votes, for a maximum of three votes.
        • District Council members must cast their own votes. Proxies are not permitted.

        Receiving and Submitting Your Ballot

          When voting opens during the meeting, ElectionBuddy will send a secure ballot to your registered email address.

            • Watch your inbox for an email from ElectionBuddy.
            • Check your spam or junk folder if the ballot does not appear.
            • Do not share or forward your ballot link.
            • Submit your ballot before voting closes.
            • If you do not receive a ballot, notify the voting support team immediately through the Zoom chat.

The posting timeline (late evening September 12, updated September 13) has been reviewed with our Regional Advisor and Toastmasters International District Central Support Team, who affirmed the importance of timely notification while also recognizing that occasional adjustments may be required to avoid postponing the meeting and to respect members’ time.
