Incentives and Bookstore Bucks Reimbursement Program

The District 50 Incentive Program strives to reward you and your clubs for delivering a quality club experience. Have fun and earn a little something as you work to meet your goals! If you have any questions regarding a particular incentive, contact the responsible Trio members through the email noted at the bottom of each incentive.

Bookstore Bucks are changing this year! 

Bookstore Bucks are earned by performing and completing the task(s) outlined in each incentive. Bookstore Bucks are earned and then used via reimbursement when you make an approved club-related purchase. For example, if your club needs a $100 webcam, you or your club purchases the webcam, submits a copy of the detailed receipt via a reimbursement voucher or in the club’s Concur account (Toastmasters International expense reimbursement software) and the district will reimburse your club. NOTE: Your club must have Bookstore Bucks in its account prior to any purchase in order to receive reimbursement.

Examples for Reimbursement

Example 1:

Club XYZ needs supplies for its club meeting. The club Treasurer orders the supplies from the Toastmasters International Store and pays for the order with the club bank account. The club Treasurer submits a Voucher for Reimbursement https://toastmasterscdn.azureedge.net/medias/files/department-documents/finance-documents/voucher-for-reimbursement-ffe.pdf and the detailed receipt (including taxes and shipping) to the Finance Manager at finance@d50tm.org. The Finance Manager will review the information and if complete will write a check and mail it to the Treasurer’s mailing address as indicated on the form. The amount of the expense will be deducted from the club’s Bookstore Bucks account.

Example 2:

Club ABC has decided to transition from online to hybrid and needs a webcam and a speaker. The SAA finds the webcam and speaker on Amazon and purchases both items. The SAA would like to be reimbursed via direct deposit to his account, he contacts the Finance Manager and requests to be set up on Concur. The Finance Manager submits the request to Toastmasters International and is granted access to Concur. The SAA enters the expense information into Concur and attaches a detailed receipt and submits his expense. The Finance Manager reviews the information and approves the expense. The SAA receives the reimbursement to his bank account. The Finance Manager deducts the expense amount from the Clubs ABC Bookstore Bucks account.

Example 3

Club LMN agrees to attend a District 50 event. The club Treasurer pays the $140 registration fee with her personal credit card. The club Treasurer has already set up her Concur account. She enters the expense information and submits the detailed receipt. Club LMN only has $100 in Bookstore Bucks in their account. The Finance Manger will review the information and if complete will approve the reimbursement of $100. The Finance Manager will then deduct the $100 from Club LMN’s Bookstore Bucks account, leaving a balance of $0.00.

 

District 50 Bookstore Bucks Questions and Answers:

What are Bookstore Bucks?

Bookstore Bucks is an account that the district runs for your club. Every time a club is awarded an incentive, the money goes into the club’s Bookstore Bucks account. The new system will allow you to make purchases for club meeting items and have them delivered directly to you.

Why did we need to create it?

District 50 leaders are always looking for new ways to incentivize and recognize the work that is being done throughout the district.  We want to encourage open houses, club excellence and club growth with awards.

What can be purchased?

Anything that helps the club mission and promotes the club’s growth. Examples are but not limited to; supplies from Toastmasters International store, purchases from Amazon for webcams, banner stands, microphones and speakers and registration fees for the District 50 Fall Event (Fall-Der-All) and Spring Conference.

What cannot be purchased?

Items that do not directly support the club mission and its members, no alcohol, gift cards, personal items, clothing, or Toastmasters International logo items outside of the Toastmasters International store. If you are unsure if an item qualifies for reimbursement, contact the District Director at dd@d50tm.org.

How do you redeem Bookstore Bucks?

When the club or individual buys an item, they submit the detailed receipt (credit card statements are not allowed) to the Finance Manager at finance@d50tm.org.  The item cost must be equal to or less than the money accumulated in the club’s District Dollars account.

How long do Bookstore Bucks last?

Bookstore Bucks do not expire.
